Service Support Administrator
Pay Rate: £22-£25 per hour (Umbrella, inside IR35)
Start Date: ASAP
Hours: 8:30am - 4:30pm, Monday to Friday
Location: Aberdeen

We are seeking a highly organised Service Support Administrator to provide essential administrative and operational support to a busy Service department. This role is ideal for someone who thrives in a fast-paced environment, has excellent attention to detail, and can support multiple business functions with professionalism.


Key Responsibilities

  • Carry out general administrative duties including document control, correspondence handling, and processing expenses.

  • Arrange travel using the online booking system, ensuring cost-effective and schedule-appropriate options.

  • Expedite component deliveries and raise/manage purchase orders based on engineer requirements.

  • Coordinate visa applications and vaccination bookings for technicians before mobilization.

  • Maintain emergency contact lists and ensure technicians' training remains up to date, arranging refresher courses when required.

  • Compile and manage project documentation such as Dispatch Dossiers, MRBs, and O&M Manuals.

  • Manage post, operate the telephone system, and organise conference room bookings.

  • Uphold document control procedures, record-keeping standards, and ensure timely client submissions.

  • Support Health & Safety compliance, including risk assessments and procedural alignment.

  • Process technician expenses via the online tool in line with company policies.

  • Assist the Quality Assurance Manager with implementing administrative procedures.

  • Support monthly invoicing processes.

  • Help maintain and update training matrices.


Qualifications & Skills

  • Strong proficiency in MS Word, Excel, Outlook, and Adobe Acrobat.

  • Professional telephone manner with excellent communication skills.

  • Experience with document control processes and compliance standards.

  • Knowledge of PO processing and expense management platforms.

  • Familiarity with H&S policies and risk assessment procedures.

  • High level of integrity when handling sensitive or confidential information.

  • Exceptional attention to detail and ability to meet deadlines.

  • Previous experience in a similar administrative or service support role is highly desirable.
